General Report Usage

When browsing through reports, a similar theme of layout and general options is observed.



You can always see the “Reporting Options” section at the top. From here you have to select date & time requirements of the report you prefer to see. This is also where the “subject” of your report and other inputs will be configured.


The subject of the report will vary depending on which report you're running, and will also vary based on the report classification, be it an Extension, Group, Resource or Accounting report. To allow for greater fine tuning of reporting information, most reports include "Filters" located just below the "Reporting Options", which can be adjusted as needed. The available "Filters" will also change based on the specific report selected.




These filters are less frequently used than those on the main screen but can be handy for refining results based on the options selected. As with the main filters, you’ll find a more detailed explanation in the section dedicated to the associated report.


On the very right is the action button, “Run Report.” Clicking that button tells the system to run a report based on the selected options. Depending on the amount of data, it could take a minute or two for the report to be compiled and presented.


The compiled report is displayed at the bottom of the page, with charts, tables, or graphs depending on the type of the report. The report can be downloaded in PDF, CSV, or XLSX by clicking on the “Download” button on the very right of the report.



In case a data set is too large, an error will be shown on the screen. Now you can either report over a shorter period or use the provided filters to narrow down the data set. 


Another option is presented in too large data set situations, “Email to me” and “Email to other”. Either of these options will make a report offline and email it in PDF, CSV, or XLSX form.



Selecting "Email to me" will email the resulting report only to the currently logged-in user. Selecting "Email to other" will present a secondary window where one or more email addresses can be entered before pressing the "Send" button to submit the request. It’s crucial to remember that even email inboxes have a maximum attachment limit, therefore reports exceeding this limit won’t get attached to the mail.
