The Scheduler allows you to automate report generation and send the output directly to designated email addresses in PDF, CSV, or XLSX formats.
Reports are dispatched from the email address no-reply@callation.com.au. To ensure uninterrupted delivery, we recommend adding the address to your contacts or safe senders list to prevent emails from being flagged as spam or junk.
Scheduled reports are managed within a table layout, similar to other configuration areas in the system. This interface allows you to add, edit, or delete scheduled reports. The table offers a summary of each report, including key information such as:
- Description: A user-defined descriptive name for the report.
- Report: The specific type of report being scheduled.
- Report Period: Frequency of the report (daily, weekly, etc.).
- Runs: Details on the date, day, and time the report will execute.
- Last Run: The date and time the report was last successfully generated.
- Actions: Options to Edit, Copy, Delete, or "Run Now" to immediately trigger the report.
To create or modify a scheduled report, click Add or Edit in the Actions menu. This will display a pop-up window with three tabs that need to be configured: Report, Options, and Distribution.
Report Tab:
The Report tab allows you to define schedule-specific details such as which report to run, the format, the execution schedule, and the reporting period. Configurable fields within this tab include:
- Report Type - The type of report to run. Options available directly correlate to available reports within the system.
- Report Format - Should the report be sent out as a PDF, CSV or XLSX.
- Description - Descriptive name to allow easy identification of what the report does.
- Report Interval - Should this schedule run Daily, Weekly, Monthly or Quarterly?
- Run Every - Used to configure the day of the week or day of the month the report should run.
- Time to Run - What hour of the day (in your local timezone) should the report run?
- Reporting Period - What period of time should the report cover?
- Restrict Times - Do you need to restrict the reporting window of the report? Eg. Only show calls between 6pm and 8am.
- From Time - The "from" time for restricting the time window. (Eg. 6pm)
- To Time - The "to" time for restricting the time window. (Eg. 8am)
Options are; Current Day, Previous Day, Previous 7 days, Previous 30 days, Current calendar month, Previous calendar month, Previous quarter and Custom. The custom option will allow you to select a specific window for the report, such as midday Monday to midday Wednesday.
Options Tab:
The Options tab defines additional report-specific filters and subjects. Depending on the report type selected, you will be prompted to configure options. For instance, when scheduling an "Extension" report, this tab will allow you to choose the relevant extension(s) and apply any additional filters.
Distribution Tab:
The Distribution tab determines who will receive the report and where it will be sent. Configurable fields in this tab include:
- Email to Me: Automatically send the report to the email address linked to your account.
- Distribute to: Specify additional recipients by entering their email addresses.
- Include Schedule Description in Email Subject: Check this option to include the report description in both the email subject line and the body of the email.
Note: To disable any of these options, simply uncheck the corresponding box.
